Manage stock and record parts used on jobs
How to keep stock in stores and vans, receive and move items, record parts on a job and see low-stock alerts in AquaOps.
By the AquaOps team
Stock in AquaOps is the sum of every movement, so you can always see why a number is what it is. Open Inventory.
Set up items and places
Add items with a unit, price and reorder level. Create places: a main store and a place for each van. Categories and units are your settings, and an item can have a preferred supplier.
Receive and move stock
- Receive a delivery into a store, with the supplier if you like.
- Transfer stock from the store to a van; it comes off one place and is added to the other.
- If you count and find a difference, record a correction with a reason. A mistake is reversed with a new movement; numbers are never overwritten.
Record parts on a job
On a job, add the parts used (technicians can do it from the phone). The quantity comes off stock, uses the price you set, and can be added to the invoice as a line. Removing a part returns it to stock.
Low-stock alerts
When an item falls below its reorder level, the people who manage stock are told once. Costs and supplier details are visible only to roles allowed to see them; technicians see their own van and shared stores.
Rules you can change
Whether stock may go negative is a company setting (off by default).
