Create a maintenance plan that books visits for you
How to make a maintenance plan for a system: service, interval and lead time, and how completed visits move the due date on.
By the AquaOps team
A maintenance plan says “this system needs this service every so often”. AquaOps then creates each visit ahead of the due date. Open Maintenance in the menu.
Make a plan
- Choose New plan.
- Pick the client, site and system. The list shows only systems that are in use.
- Choose the service (for example maintenance or water test) and how often it repeats: days, weeks, months or years.
- Set the lead time, how many days before the due date the visit is created, and the usual technician.
- Save. The screen shows any plans the system already has, so you do not duplicate one by accident. A system can have several plans, for example a monthly filter check and a yearly membrane service.
What happens next
- A job is created ahead of the due date and appears on the calendar and in the technician’s day.
- Customers are reminded for warranty, service and consumables at the days your company chose (Settings, Notifications, Reminders).
- When the job is completed, the plan moves its due date on by one interval.
Repeat a one-off job
On a job’s page you can choose Repeat this service (for the services that may repeat). The plan is built from the job: system, service, day and technician.
Pause and restore
Pause a plan when a contract is on hold and restore it later. Nothing is deleted. The Maintenance page shows what is due, overdue and coming up.
See maintenance plans for what they do.
Questions and answers
- Can any service repeat?
- Only services that your company allows to repeat. By default maintenance, inspection and water tests can; installation, repair and emergency cannot.
