Invite a customer to the portal and give people roles

How clients get portal access in AquaOps: the first invitation, adding colleagues, client roles and what customers can see.

Each client can have several people using the customer portal, each with a role. Open the client’s page under Clients.

The first invitation

When you add a client, the email you give is the first user and (with the client access module on) is invited automatically. The invitation is a link that works once and lasts 7 days. You can resend it; the link is renewed on the same invitation, and you can see whether it was sent and opened. Customers are never shown the link by staff screens.

Add colleagues

Open the client’s Users tab (needs permission to update clients). Add a person’s email and choose a client role. A client administrator can also invite colleagues from inside the portal, but nobody can give a role bigger than their own, change themselves or leave the account without an administrator.

What each role can do

Client roles are customer permissions only, such as seeing their own records, asking for a visit, raising a ticket, viewing invoices and paying them. Your company defines the roles in Settings, Customer access.

What customers see

Visits and their status, service reports you shared, quotes and invoices, receipts, open tickets, and an arrival link while a technician is on the way. They never see internal notes, staff names beyond a first name on the arrival page, or other customers.

Remove or restore access

Access can be ended per person and restored later; records are never deleted.

See the customer portal.

Questions and answers

What can customers see in the portal?
Only their own sites, systems, visits, invoices, documents and tickets. Their access comes from the client records they are linked to, checked on every request.
